 

#  July 2026 GMAS Release

The July 2026 release will be available on **Friday, July 17th, 2026**.   
In support of this release, the system will be **unavailable starting at 6:00 PM ET on Thursday, July 16th**.  
GMAS will be available again no later than the start of business on Friday, July 17th.

The primary focus of this release is in support of yearly NSF Higher Education Research and Development (HERD) Survey activities.

#### HERD Survey Support

**Reason**: Discipline code options have not been updated to align with NSF/NCSES HERD survey categories for several years. Additionally, R&amp;D type is required for annual reporting but is not currently captured as a data element in the application.

- New field to capture R&amp;D (research and development) type in proposal entry and edit screens added for all proposals that are not billing agreements.
    - Proposals under development at the time of release will require completion of the new field before being able to lock and route for signatures.
- Updated listing of Discipline codes to align with HERD survey codes.

#### Convert

**Reason**: Continued progress in moving the GMAS application into the newer interface.

- Converted person to-dos screen to newer interface.

#### Research Security Training 

**Reason**: Supporting scenarios where a covered individual may have been removed from the training population in the Harvard training Portal (HTP).

- Updated the Research Security Training status rules in GMAS to show as needed when the latest course assigned has been completed in the past and no new requirement generated (which can be caused by the course being removed from a covered individuals HTP plan).

#### Continued Segment Revision Request Tracking Support

**Reason**: Continued progress and bug fixes for the new segment revision request tracking module (available to central submitting office staff only).

- Added ability for central submitting office staff to request a segment revision from the segment homepage actions button.
- Added ability to opt into notifications for all status transitions.
- Updates to segment revision dashboard to remove forms that were completed greater than 30 days ago.
- Add segment revision request forms to the action memo list screen and added the segment revision request id on the action memo home screen.
- Bug fixes
    - Addressed a security issue on the segment revision request form if URL shared with roles that should not have access.
    - Added closed and not funded segments into the segment look-up.
    - Continue to retain account entry details in the segment revision request after accounts become active.
    - Retain status transition comments in the summary section when the secondary status is cleared.
    - Fixed issues with 'Check to clear' button so that prior version request approvals and legacy approvals are not considered when clearing.
    - Fixed a bug where assignment was clearing when an update was provided.

#### Other updates

- Added ability to navigate between to prior and next action memos from the action memo homepage.
- Updated the Agency LOC field on account strings so that an empty field can be saved to remove LOC numbers from accounts.
- Updated hyphenated labels in GMAS to be consistently displayed with sentence casing.
- Removed logic on GL budget entry screen that created account code combination values.
- Update to flag organizations as foreign when the organization type selected is multi-national.
- Updated sub overhead threshold rules in transaction monitoring to reference individual sub overhead policies applied rather than award dates.
- Updated several free text entry fields (such as comments and justification) to display friendly errors when text entry size exceeds allowed size.

#### Bug fixes

- Fixed issues with dashboard sort and filters that were causing incorrect record updates when actions were taken from the dashboard after the latest major technical upgrade.
- Implemented additional enhancements in an effort to reduce the volume of error messages some individuals have been receiving when using the application.
- Fixed a bug on log notice that was preventing the initial proposal from displaying when segment included several at-risk accounts that were created from different requests.

#### **Other technical enhancements**

- Upgraded GMAS JSCH to 0.1.55
- Updated FreeMarker, BouncyCastle, and log4j
- Renewal of CSMA job GPG keys
- Created two jobs for patching automation
