System Links
Established in 2004, Harvard's Grants Management Application Suite (GMAS) is the engine behind the administration of the University’s sponsored funding.
The system:
- Is the University’s system of record for proposals, awards, financials, and documentation related to sponsored projects.
- Enables the proposal and request development, approval, and submission processes.
- Supports the end-to-end grant life cycle process.
- Is integrated with University financial and compliance systems.

Below you will find a variety of useful links to support your work in GMAS and research administration.
System Access
There are several ways individuals with a Harvard University ID (HUID) can gain access to GMAS:
- PI or Mentor Access: Individuals added as a Principal Investigator (PI) or Mentor on a GMAS segment automatically receive access to view their segments.
- Segment-Level Access: Department administrators, central administrators, and central financial administrators can grant project-specific access to individuals by adding them to the segments administrative team.
- Request Signatories: Individuals added as signatories on a request receive temporary access to that segment until the request is signed.
- Standing Teams: Individuals added to standing teams receive broader access to GMAS projects based on the team’s scope (e.g., across orgs or org and PI combinations). Members of standing teams who have assignments on the team are automatically added to the segment administrative teams when they are created, which determines who receives notifications and who to contact for that segment.
Need Access?
- For a specific project: A department or central administrator already associated with the project can add you in the appropriate role to the project’s administrative team.
- Not sure who to ask? Your local GMAS Authorized Requestor can help or direct you to the right contact. Use the GMAS Authorized Requestor List to find one in your area.
- For access across multiple orgs, or org and PI combinations: Contact the owner of the relevant standing team. This may or may not be your local Authorized Requestor. Your Authorized Requestor can help identify the correct person to contact.
