May 2025 GMAS Release

The May 2025 release will be available on May 5, 2025. The focus of this release is retiring GL budget integrations with Oracle e-Biz and continuing the push the convert work forward, as well as other enhancements and bug fixes.

Retiring GL budget integrations

Reason: Retiring GL budget integrations with Oracle e-Biz allows GL budget data to be shared directly with the Harvard Data Warehouse (HDW).

Enhancements

  • Removed interfacing with Oracle e-Biz for the GL budget process.
  • Updated GMAS to share GL budget data directly with the Harvard Data Warehouse (HDW).
  • Updated all screens where GL budget data displays to update when GL budget updates are committed in GMAS instead of updating from data received in the nightly HDW feed.

  • Added new function/requirement to categorize submitted proposal documents when submitting initial proposals and competing renewals.
  • Updates to Changes to existing segment and Internal requests.
    • Added a new field for discretionary account information in at-risk account requests.
    • Enhanced the reallocation request to no longer require the object code as mandatory to allow for reallocating amounts across accounts, and update the restricted category check box to a yes/no question.
    • Updated all request types to allow for unique in application help content.

Approval enhancements

  • Updated approvals screen when accessed from segment home to display required attestations and trainings when proposal is pending.
  • MFTRP Updates
    • Updated language in the send reminder email to reflect that the requirement is due at proposal stage and award stage.
    • Added New PI attestation status to Change PI panel in the Change PI request.
    • Added a new N/A status to reflect when an investigator was marked as not required to attest in the Research Administration Portal.

Subagreement threshold enhancements

  • Added the new threshold rules to transaction monitoring so that awards effective on or after July 1, 2025 check that the first $50,000 in expenses is on object code 8190. Awards prior to July 1, 2025 will continue to monitor that the first $25,000 in expenses is on object code 8190.

Non-Financial deliverable enhancements

  • Updated additional recipients so that individuals are added by role. This enhancement allows research finance to set NIH RPPR additional recipients to be under all members in the department administrator role and provides better system support when there are changes to the administrative teams.
  • Updated the Financial Deliverable Scheduler to display the order of report types based on most frequently used instead of alphabetical.

Additional enhancements and bug fixes

  • Added a ‘Questionable terms’ flag in external organizations.
  • Fixed a bug where signatories on more than one request were unable to sign off on subsequent requests after completing the first one.
  • Started retrieving course completion date from the Harvard Training Portal.

Technical upgrades

  • Created new API for segment, account, and committed effort data for sharing with FESSCA.
  • Fixed an issue causing person data to duplicate in the database.
  • Addressed an issue with the HTP job that occurs if multiple files are dropped.
